Regular Meeting

THIS MEETING WAS HAD VIA ZOOM DURING THE COVID-19 SHUTDOWN.

Pledge of Allegiance/ Roll Call

 At 4:05p.m. a quorum was had and Roll call was taken

Amendments to and Approval of the Agenda

  at 5:37 p.m.  Mr. Brown said the meeting needed to be started from the beginning and Vice-Chair Ford said to skip the Pledge and go to approval of the Meeting Minutes.

   Financial Reports

a.       May 2020, Jeff Price, Sr. Management Budget Analyst (Discussion)

Jeff Price- Revenue Budget was collecting steadily, $10,000-12,000 average. Analysis says 20% decreases for the next couple months.

Pages 2-3 were expenditures. It’s been light, Good healthy balance.

Commissioner Holt asked for the Budget information that was sent to email be sent to her again.

Price- Fund balance sheet said 2019 ending balance was $144,726. Just received an audit from auditors and that was the official number. Since then $88,000 in Revenue was brought in and Spent $19,500. Current balance now was $213,000.

 

Dubree- revenue compared to last f/y down $11,000. 12% lower amount and if you take that over the course of the whole year, that would put the TDC collecting about $155,000-$160,000. Surprised it was not worse.  

Price received April not May/June and they may show something different.

 

   Holt-this amount was without any main event for the county. Request for events for this year?

Price- spent a couple thousand 4-5 events and some more planned but did not know if they would happen.

Holt- don’t know how reopening will happen and how to handle if some of those were caught in those deadlines.

 

Dixon- What plans/events were set??

Price- Did not have complete listing. Havana has 2, Golden Knights had not done theirs yet and with COVID who knows. Half a dozen not been done and should be contacted.

 

Holt- Find out if people will be having events some are over.

Price- Since they were approved last year for this current year and they can not do it, do we want to do it next year.

Holt- Yes, what do we want to do.

 

   Steele- Had receipts from Golden Knights Event from 2019 10/12/2019

Holt- 2019 would not be for this chart, they are for 2020

Steele- For this fiscal year and she will get with Jeff and find out about events.

Holt- who had not scheduled an event, need a list.

Steele will get with jeff and Sonya and look at some of Olivia’s old files to see what events had taken place and what had not.

Ford- reggae in Havana had not happened and was not sure it was going to. Rolling it over because they could not have the event. 

Holt- time to look at it and event and items the TDC wanted to market.  Make groups and get research for the next meeting.  Jeff to think of something to do at the lake. Need ideas for all the towns.

Dubree- Most events post January prob would not take place until it was safe for large groups to get together. Focus on the drive market and go into a reapplication process for next spring and maybe fall.  Will provide input for the lake

 

b.      TDC FY 2020/2021 Financial Budget Introduction and Overview

20-21 is a draft budget. There was money for the attorney.  Training, who wants to go, and events you want to see happen. Any application submitted should be put into this budget.

 

Leslie – Applications going out this week. Wants the TDC to be able to review them in the July Meeting to be ready for the August budget deadline. Give the TDC 7 days to review.

 

Holt- wants to pull things up out of the communities. Long standing history in some of the communities. Break up in groups, put a stake in a location stating something happened at this location the tourist might be interested in.  Do the research. Not an event but permanent.

 

Steele- Want a Key Event??

Holt-an event is fine but this would be permanent. Get the story and tell it with the marker. Tour the County going from marker to marker.  

Steele- want a special meeting?  

Holt- asked who will volunteer with her.

Johnson- Thinks that is a great idea and would like to help along with Ms. Dixon. 

 

Ms. Ford was no longer in the meeting.

 

Dubree- History category?? Trying to establish tourism in general.  

Holt- both

Dubree – Be more organized when hiring a marketing firm, the quicker the ball will roll

Holt- have the information for them so they know.  

Steele- Set a deadline and have a meeting as well with the application for special events.

Moving in a forward direction. Even if it was just a fishing tournament.

Next Scheduled Meetings:    

Monday, July 20,2020- make application selections.

Monday, August 17, 2020

Applications, 2 Election in august and Nov not too close to opening – reoccurrence should be considered.

Holt did not want to get in trouble with reoccurrence.

Dixon- On the news she heard there will be a spike

Steele- Have the funding just in case.  

Steele- Will let TDC know what day the special meeting would happen.

Holt- schedule 2 meetings. Other members agreed. 

Steele- Will be respectful of people’s time.
